Executive assistant/practice support - Melbourne

The Nous Group is a specialist management consultancy with offices in Melbourne, Sydney, Canberra, Adelaide and Perth. Nous works with public and private sector clients in leadership and people management, information and knowledge management and business strategy and public policy thinking. You will use your dynamic administrative skills, initiative and problem solving abilities to keep the consultants fully supported and productive.

You will have brilliant planning and organisational capabilities topped with effective communication skills. You will thrive on managing multiple tasks and have high proficiency with Microsoft Office products.

You will work with energetic and professional consultants who have an excellent reputation in the market.

To succeed in this role you will need to:

  • At least 3 years experience working in similar roles in a professional services firm
  • Have intermediate to advanced Microsoft Office (Word; PowerPoint; Excel; Outlook); typing speed min 40wpm
  • Provide overall administrative support to consulting projects within your practice area
  • Provide high level Executive support to the senior people in the practice
  • Support the broader business as required
  • Develop and implement administrative processes to improve the effectiveness and delivery of Nous services
  • Liaise with other offices, be an integral part of the larger support team across the business and help connect the offices by building relationships
  • Be capable of working with good humour and charm (sometimes when under pressure). You must be highly proactive, have initiative and always be prepared to go the extra mile
  • A good sense of urgency, attention to detail and the aptitude to coordinate and deliver with flexibility will ensure success.

Duties include

Practice/Project based support

  • Coordination of practice/project team meetings including catering, set up of materials, agenda and minutes
  • Scheduling and supporting stakeholder interviews and client meetings
  • Information gathering, registration and dissemination
  • Tracking of project financials
  • Typing of meeting notes and data entry
  • Preparation of materials for workshops and client meetings
  • Compiling, formatting, editing and proof-reading of documents (MS Word, PowerPoint, Excel)
  • Client liaison
  • Proposal support (document preparation, information compiling, proofreading, printing and delivery)
  • Travel coordination for consultants
  • Tracking project pipelines for the practice
  • Scheduling and tracking of business development activities.

Executive support

  • Full diary management for Principals and Practice Leader
  • Travel coordination for Principals and Practice Leaders
  • Scheduling client meetings
  • Credit card and expense reconciliation
  • Understanding and anticipating the requirements of Principals and Practice Leaders, and understanding the position of different clients, and other business contacts
  • General administration (printing, filing, photocopying, running errands)
  • Preparation and initiation of correspondence - must be of the highest quality
  • Data entry for contacts database
  • General office support to assist the support team.
